🚀 Key Responsibilities

As an Accounts Payable Specialist, you will be responsible for:

  • Managing vendor onboarding, including W-9, W-8BEN, 1099 forms, and banking documentation
  • Entering invoices into the general ledger with correct business unit, department, and account codes
  • Coordinating with internal departments to obtain timely invoice approvals
  • Ensuring invoices are prioritized and paid according to payment terms and cash discount opportunities
  • Understanding vendor agreements and supporting accrued expense estimation
  • Allocating expenses across multiple business units, departments, and subsidiaries
  • Ensuring only approved vendors are created in the accounting system
  • Processing EFT, check, and wire transfer requests
  • Matching invoices with payment requests and ensuring proper approvals
  • Reconciling vendor statements and resolving discrepancies
  • Maintaining accurate files and documentation per company policy
  • Preparing and maintaining accounts payable aging reports
  • Auditing employee expense reports against company policies
  • Supporting month-end accruals and variance analysis
  • Working with treasury teams on payment applications and bank reconciliations
  • Collaborating with departments like engineering, sales, legal, operations, and technology

🎯 Required Qualifications

  • Associate’s or Bachelor’s degree in Accounting (preferred)
  • Minimum 3 years of experience in Accounts Payable or General Accounting
  • Strong verbal and written communication skills
  • High level of accuracy and attention to detail

  • Proficiency in Microsoft Excel and other MS Office tools
