Name of the post: Accounts Payable Specialist
As an Accounts Payable Specialist, you will become a critical part of Ziff Davis’ Finance team. You won’t just process invoices—you’ll own vendor relationships, support financial accuracy, ensure compliance, and contribute directly to business decisions across departments like engineering, sales, legal, operations, and technology.
This is a remote role based in India, aligned with UK working hours, offering global exposure without relocating.
🧾 What You Will Do – Key Responsibilities
In this role, you will be trusted with end-to-end accounts payable operations, including:
- Managing vendor onboarding, including W-9s, W-8BENs, 1099s, banking credentials, and compliance documentation
- Accurately entering invoices into the General Ledger, assigning correct business units, departments, and account codes
- Coordinating with internal teams to obtain invoice approvals smoothly and on time
- Prioritizing payments based on payment terms, cash discounts, and business needs
- Understanding vendor agreements and payment structures to support accrued expense estimates
- Allocating invoices across multiple business units, departments, and subsidiaries
- Ensuring that only approved vendors are created and maintained in accounting systems
- Processing EFTs, checks, and wire transfers with complete documentation
- Matching invoices to payment requests, securing approvals, and distributing payments
- Reconciling vendor statements and resolving discrepancies with confidence
- Responding professionally to vendor inquiries and maintaining strong relationships
- Maintaining organized, audit-ready documentation as per company policy
- Preparing and maintaining accounts payable aging reports and monthly reconciliations
- Auditing employee expense reports in line with company policies
- Supporting month-end accruals, variance analysis, and bank reconciliation with treasury teams
- Participating in Sarbanes-Oxley (SOX) compliance activities where applicable
🎓 What We’re Looking For – Qualifications & Skills
To succeed in this role, you should bring:
- A.A. or B.S. degree in Accounting (preferred)
- 3+ years of experience in Accounts Payable or General Accounting
- Strong knowledge of invoice processing, reconciliations, and accruals
- Excellent written and verbal communication skills
- High attention to detail and pride in accuracy
- Strong organizational and time-management abilities
- Advanced working knowledge of Microsoft Excel
- Ability to meet deadlines in a fast-paced professional environment
- Experience with intercompany transactions and reconciliations
- Exposure to international transactions and foreign exchange (a big plus)
- Experience with Oracle Fusion (preferred)
- Experience with Navan travel & expense management (preferred)
- A proactive mindset, strong follow-up skills, and team-player attitude
- Curiosity and enthusiasm for technology and AI-driven tools
