Job Title: Records & Document Management Specialist I

Location: Home (Remote)

Primary Responsibilities:

As a Records & Document Management Specialist I, you will play a key role in maintaining our corporate Electronic Document Management System (EDMS). Your responsibilities will include:

  • Creating, deleting, and updating user accounts, reflecting personnel changes and role assignments.
  • Providing global end-user support for basic EDMS troubleshooting, both remotely and in-person.
  • Delivering basic EDMS training and guidance to staff on system usage.
  • Assisting in EDMS integration activities, including revising documentation, courses, users, roles, and basic EDMS activities.
  • Updating and maintaining document tracking, such as Table of Contents and SharePoint sites, based on relevant documentation.
  • Creating and revising controlled documentation, adhering to SOPs on Controlled documents.




Maintaining Quality Service:

  • Collaborating with authors on out-of-compliance or in-need-of-revision documents, attachments, forms, and templates.
  • Identifying opportunities for document retirement, preparing retirement forms, and archiving documents in the EDMS and other tracking mechanisms.
  • Assisting in audits by providing requested information, producing reports, and providing administrative support.
  • Identifying opportunities to enhance the end-user experience for EDMS and Document Management procedures.

Secondary Responsibilities:

  • Reading, understanding, and adhering to organizational standard operating procedures (SOPs).
  • Assisting in establishing and enforcing departmental standards.




Contribute to Team Effort:

  • Working with internal staff to resolve issues.
  • Exploring new opportunities to add value to organizational and departmental processes.
  • Helping others achieve results.
  • Performing other duties as assigned.

Maintain Technical and Industry Knowledge:

  • Attend and participate in applicable company-sponsored training.

Qualifications:

  • Education: High School Graduate or Associate/Bachelor’s Degree in bioscience, computer science, information technology, or related field preferred.
  • Experience: 1+ years’ experience working with an electronic document management system (EDMS). Working knowledge of GCP, ICH guidelines, and FDA regulations.
  • Skills: Intermediate to advanced knowledge of Microsoft Office and SharePoint preferred. Strong organizational and time management skills required.
  • Additional Skills: Strong motivational, interpersonal, and communication skills. Goal-oriented with a professional and positive attitude.

Working Conditions:

  • Travel: 0-5%
  • Lifting: 0-25 lbs.
  • Other: Computer work for long periods of time.
